Over the last weeks and months it’s almost become part of the daily routine to arrange video conferences via Cisco Webex, Microsoft Teams and other providers, enabling virtual exchange when in-person meetings are not possible. As of now, we can offer an additional option for all our customers using the x-tention Private Collaboration Cloud. Our xtended Video Conferencing add-in allows you to organize a video conference quickly and easily in Microsoft Outlook. You can create a video meeting with just one click and then invite participants in the normal way.


An additional feature in the familiar email software allows you to generate a private meeting room that can be accessed by all participants via their browser. The only prerequisite for using the add-in is that you use our private cloud solution, which is operated in our own x-tention data centres in Wels, Austria, and is completely independent of global providers. Users benefit from all the classic Outlook calendar functions when editing meetings. You can also create a meeting on behalf of someone else (for example an assistant can create a meeting for management). The add-in is currently supported in English and German and is hosted securely in the x-tention data centres in Austria – with all the advantages of the CISCO meeting server.

The name for the conference room, the host pincode and the guest pincode are generated automatically by clicking on the ‘create video meeting’ button, but can also be changed later.

As with any other Outlook appointment, you can change the time of the meeting even after sending the invitation. Invited participants can dial in using the guest pincode. The host pincode can only be used by the host to manage their own meeting (moderator function = open/lock virtual meeting room, etc.)
There are two ways to use the video meeting you’ve created: You can either run it using Cisco devices such as soft clients, DX80, Room Kit Mini, etc. (accessed via the SIP call ID provided) or using a web browser (accessed via the internet link you send out). The meeting is always started by the host.
